Submit Grades From All Course Types (Cross-listed and Otherwise) to AIM
Below are instructions for importing final ("total") grades for students from the Canvas Gradebook into AIM. These instructions should be followed for all teachers in all situations. Alternatively, teachers can also enter final grades into AIM manually, or use the Canvas Gradebook CSV export to extract final grade data and import / enter into AIM.
Note: The previously-available method that used a sync button on the Canvas Gradebook is no longer available, due to changes in Canvas architecture. All teachers who wish to initiate a grade sync from Canvas must now do so from AIM, using the instructions below.
1. AIM Grade Roll
Navigate to the Grade Roll Links to an external site. in AIM for the desired class section. This can be found at: https://y.byu.edu/ry/ae/prod/grades/cgi/gradeRoll.cgi Links to an external site..
Click on the Roll button associated with the class section for which you are submitting grades.
Note: For courses that have cross-listed multiple sections into a single course, these grade submission steps will need to be repeated for each section.
2. Autofill Grades from Canvas
Select Autofill Grades From Canvas. Final grades will be imported from Canvas
After you have clicked on the "Autofill ..." button, the page will reload with a message explaining that the grade sync has started. You will need to return to the AIM Grade Roll page for the class section later, after the grade sync is complete. This can take anywhere from a few seconds to a few minutes. Your BYU internal email address will receive a notification when your grade sync is complete and grades are ready for you in the Grade Roll.

NOTE: When grades are imported from Canvas, any assignment that hasn’t been graded will be assigned an automatic 0. This potentially results in a slight discrepancy between grades displayed in Canvas and grades pulled into AIM. In order to avoid this, it is recommended that as assignments are completed throughout the semester, 0’s are entered for all missing assignments in the Canvas gradebook. This helps both students and instructors to see their actual grade, rather than the grade based only on completed assignments. |
3. Review Grades
Return to the grade roll page for the desired class secction and review the imported grades. Make sure that each student has a grade, and that grades are accurate. Manually correct individual errors as necessary. Note that the letter grades (codes) from Canvas must match the expected letter grades, according to the grading rule set for the class section. 4. Failing Grades
In the case that a student receives a failing grade (E), indicate [1] whether the student has attended class or done any work. Possible responses include "Yes," "No," and "Don't Know." In the case that a student receives a failing grade (E) and has attended class or done any work ("Yes"), enter [2] the date of last attendance or submitted work. This information is required by the government for purposes of financial aid.
5. Saving and Finishing
When you're finished (or need to take a break), push one of the following buttons:
Save - Push this to save your current progress, so that you can return and finish later.
Submit - Push this to submit grades to the Registrar's Office.
NOTE: After pushing "Submit," you will not be able to make any more changes to the grades. |
Post - Push this to post grades to students' progress reports / school records.
NOTE: After pushing "Post," you will not be able to make any more change to the grades. If you have not yet pushed "Submit," when you push "Post," grades will also be sent to the Registrar's Office. You are required to "Post" your grades prior to the grade submission deadline. |
