To increase the reliability of Canvas grade syncs to AIM, particularly for larger class sections, we are transitioning to an updated grade sync system effective immediately. Here is what you should know:

Canvas Grade Sync Instructions

- Initiate a grade sync in AIM: The location and process for starting a grade sync for Canvas teachers and TAs is unchanged: As always, go to the AIM Grade Roll screen for the desired class section, and select the button labeled "Autofill grades from Canvas"
- Allow system to respond: The system will request current final grades from Canvas and report them to AIM, and you will see a message on the AIM Grade Roll page that the sync process is underway.
- New- Look for email notification: AIM will not respond immediately with an updated Grade Roll screen that lists new grades. Rather, the initiating user will be asked to return to the Grade Roll screen later to view newly synced grades. In the meantime, AIM will send an email notification to the user's internal BYU email account, notifying them that the grade sync was either successful or errors were encountered.
Expected grade sync time: 1-5 minutes - Resolve any grade issues that may be contributing to an unsuccessful grade sync. In most cases, an unsuccessful grade sync will result from a Canvas course grading scheme that issues letter grades (i.e. A B C D E, or CR / NC, etc.) that are incompatible with the grade rule configured for the class section in AIM. In most cases, teachers can resolve this by selecting a compatible grading scheme in their Canvas course settings that contains grade codes their AIM class section is expecting.
- Return to the AIM Grade Roll page (for the class section) and Submit: After 2-5 minutes (in most cases), your synced grades will be displayed on the Grade Roll page. To prepare these grades for reporting, you must click on "Submit" before the grade reporting deadline. Then, to finalize grades and release them to students even before the grading deadline, select "Post." Submitted grades that are not posted by the end of the Grade Submission Deadline for a given semester or term will be posted automatically upon the grade submission deadline.
